CLA NOW -- September 19, 2007


K-12 Outreach

The college is collecting information about departmental K-12 outreach initiatives to enter into a database. Please forward the attached form to your faculty and staff members and ask them to complete one form for each initiative. The completed forms should be returned via email by September 21 to Anise McDowell, CLA K-12 Outreach Coordinator, at amm@umn.edu.  Anise would also appreciate hearing from you if your department receives a request for a campus visit from anyone in the K-12 community. We would like to track how many students visit the campus and who they are.  If there are any questions please do not hesitate to contact Anise at 5-8649 or amm@umn.edu.

Financial/HR Meeting-September 27th

The joint Financial/HR meeting has been moved to September 27th at 8:30 a.m. in 102 Fraser Hall.  Please note that we will include a brief refresher on IRIS entry and reporting rather than having separate training sessions as we have had in previous years.  We encourage all staff that work with IRIS to attend the meeting.

EFS – Service Teams Q&A:

The following is the fourth in a series of Q & A’s that the CLA Project Team will address as part of its regular communications concerning the Enterprise Financial System through CLA NOW.

1) Who will do the work in the department if the accounting person moves to the service team? 
For those departments without adequate staffing to handle the department designated financial activities, a one on one meeting will occur with someone from CLA HR to assist in determining how to accomplish the work in the department.   We will have various opportunities for a facilitated discussion about work flow between departments and service teams where we can then identify how these tasks will be accomplished.  One option is for support to be provided by a neighboring academic unit.  Support could also be provided by an existing staff member in a department who normally does not perform financial tasks.  This will provide professional development opportunities for CLA staff to learn new career enhancing skills.

2) Who will have access to the financial system?
View only access will be available for those job duties require view access only.  There is no testing, a form needs to be completed and signed by the college.  For those individuals who have responsibility for doing work in the system, the level of access you will have in the new financial system will depend on your job duties.

3) What about my job? I see that there is something coming off of it to go to a service team, but two more things will be added…I can’t handle anymore.  How will this be taken care of?
One on one meetings will occur with someone from CLA HR to assist in determining how to accomplish the work in the department.

4)  Who is going to be on the different teams?  Will we be reassessing the teams just in case something (or someone) isn’t working out?
The identification of individuals for the different teams will occur over the next two months.  Currently, if you hold a fiscal family job classification and most of your current duties fall into the future service team responsibilities, you will most likely be on a service team.
If there are issues relating to work flow that need to be addressed, there will be post implementation evaluation of the service team and an opportunity to discuss these issues in an open session.  Individual performance issues will be dealt with according to the expectations outlined, performance management principles, and the specific policies related to the employee class (bargaining unit, civil service, P&A). Performance problems and issues will be dealt with on an individual basis and will remain private data.

5)  Who will be the liaison between departments and the service teams?
The senior accountant from the service team assigned to your unit will serve as the liaison from the financial team.  The Administrator, or the individual delegated the responsibility within the department will be the department liaison.

6)  Is there a deadline for completing the Chart of Accounts training class yet?
We have not set a deadline for the Chart of Accounts training class, however, we encourage all CLA staff who will need access to the new system to sign up for this course as soon as you have completed the Basic Accounting course and assessment.  Basic Accounting and Chart of Accounts are prerequisites for other EFS training courses so we encourage staff to complete training soon.

Workshop for Faculty-led Short Term Study Abroad Programs.

The Learning Abroad Center invites faculty members planning on leading a study abroad program during 2007-08 or 2008-09 to the attend one of the following workshops. 

Monday, October 8:  9:00 – 11:00a.m. (Continental breakfast provided); 100 Skok Hall, St Paul campus
Thursday, November 29:  11:30 – 1:30 (lunch provided); 110 Heller Hall, West Bank campus

In the event you are not able to attend either of the above times, the workshop will again be offered in early February.  A separate invitation will be sent to you later for this workshop.  Please note that if you did not attend a workshop last year, attendance at one of the workshops this year is required.  The workshop is intended for any faculty planning to lead a program during the ‘07-’08 or ’08-’09 academic year.

Financial Service Team Lead Positions

Sabbatical Supplement & Single Semester Leave
Applications for the 2008/09 sabbatical supplement  and single semester leave competitions are due in the Office of the Associate Dean for Faculty and Research no later than Friday, 5 October 2007.

Scholarly Events Fund
Requests for scholarly events funding to support events scheduled during 2007/08 are due in the Office of the Associate Dean for Faculty and Research no later than Monday, 15 October 2007.

Promotion and Tenure
Dossiers for promotion and tenure cases being considered during the 2007/08 academic year are due in the Office of the Associate Dean for Faculty and Research no later than Friday, 19 October 2007.
