Summer Session 2007 Instructional Funding Transfers

Summer Session instructional funding transfers have been completed.  Please see JV446F4253966 (area 415-499) and JV 446F4254999 (areas 500-757).  If you have any questions please contact Pandora Aaron (4-9370,aaron012@umn.edu)

Replacement Teaching

Replacement teaching-Other should not be used when completing IRIS entry.  For sabbaticals, IAS Fellowships, CLARFS, and research course buyouts the correct funding code is replacement teaching-budget.  For single semester leaves, unpaid leaves, and McKnight leaves where there are funding needs beyond what is available in your unit, please use the funding type of replacement teaching-IRIS request.  For all courses funded by replacement teaching, please add a note in IRIS indicating who is on leave and the leave type to facilitate the funding transfer process.

EFS Equipment Conversion Worksheets

EFS Equipment Mapping worksheets are due no later than Monday October 15th.  They were sent to Department Administrators and Accountants to be completed electronically and returned to Paul Escen escen001@umn.edu  For equipment specific questions call Luke Madsen 6-8217, and for chartfield questions contact your CLA COA contact person.

Open Staff Positions

As stated in the FY08 Budget Letter, beginning this month the funds freed up from open printed budget staff positions in the units will revert back to the college while positions remain open.  In other words, we will be handling savings from open staff positions like we handle open faculty positions. Units will continue to work with CLA HR to fill those positions both on a temporary and a longer-term basis.

EFS – Service Teams Q&A:

The following is the seventh in a series of Q & A’s that the CLA Project Team will address as part of its regular communications concerning the Enterprise Financial System through CLA NOW.

1)  What were the criteria used to assign the number of staff to the service teams?
Criteria used to determine how many people were needed to  staff the service teams included  transaction volume, complexity of the transactions, and the need to provide adequate backfill.

2)  There are currently 15 senior accountants in the regional and department financial staff.  I see there is a need for 12 senior accountants in the service teams on the Service Team composition handout (from the 9/18/07 Open Session).  Is there a risk that people will get demoted in job classification?

The college will look first to CLA staff who meet the listed qualifications for the remaining Principal Accountant positions.  As positions are filled and others are vacated, CLA will move towards the levels and numbers of staff indicated per service team. The extra work that will be required during the pre and post implementation period, combined with natural attrition should eliminate this risk.

3)  Who will determine who gets moved to a service team and what they do in that service team?

This is being looked at on a case by case basis and will be done as a conversation between the chair, administrator, CLA HR, and CLA Fiscal Administration.

4)  What is the timing of the financial family job classification study rollout?

CLA will be filling out the PDQ’s for the clustered positions.  CLA HR will have workshops in the future to assist in completion of the PDQs for non-clustered financial staff.  People will be moved to the new classifications created as a result of the PDQs in December 2008.

For future questions please send an email to claefs@umn.edu.  The questions that you submit will be reviewed by a team member and a response will be sent.

Reminder:  CLA set the deadline of the end of September for completion of the Basic Accounting online course and assessment.   If you have not yet taken the course please complete the course and assessment as soon as possible.  Registration is available here.

If you missed the breeze presentations, they are available on the EFS website for you to view at your convenience.  The website also contains a large amount of information about the EFS project.
