Guidelines for P/A Promotions

Please contact CLA Human Resources (612-624-9839) with questions about procedures or deadlines.

Promotion dossiers of academic professional and administrative staff (P/As) in promotional series can be submitted once per year.  Units are responsible for developing and maintaining standards, guidelines and procedures for the promotion of P/A employees in classifications that are part of a promotional series.

Recommendations for promotion are reviewed initially by CLA's P/A Promotion and Leave Review Committee, which serves in advisory capacity to the Dean.  Promotions approved by the College of Liberal Arts take effect the following fiscal- or academic-year; in mid- to late-June for A-term employees, or in late-August for B-term employees.

2007/08 Application Deadline - March 11, 2008 (extended from orignally published date of February 1, 2008)

Candidates for promotion will be notifed of the college's decision in mid to late-May.

Please provide the original dossier, plus six copies to CLA Human Resources in 212 Johnston Hall no later than the due date.

Contents of P/A Promotion Dossiers

  • Letter of transmittal from the unit head, which includes the unit head’s recommendation regarding the proposed promotion.  The letter might include a specific description of the ways in which the candidate's accomplishments show that the candidate has met or exceeded the criteria for promotion.  The more specific the dossier is about this, the better.  What are the specific expectations for promotion for the candidate?  How has the candidate met or exceeded them?  Alternatively, this information may be provided in the cover letter from the candidate's supervisor, or in the report of the unit’s review committee.  (No longer than two, single-spaced pages.)
  • Statement by the person to whom the candidate reports (if different from the unit head).  Should include the supervisor’s recommendation and rationale with respect to the proposed promotion.  (No longer than two, single-spaced pages.)
  • Statement from the candidate.  Should identify the candidate’s major accomplishments and contributions to the unit, emphasizing especially those accomplishments and contributions that support the requested promotion.  This statement is not required if such a statement has already been included in the current year’s annual review.  (No longer than two, single-spaced pages).
  • Report and recommendation from the unit’s review committee, if the unit has such a committee.  The report and recommendation shall include a record of the unit vote (yes/no/abstain/not voting) with respect to the request for promotion, and a summary of majority views and minority views, if any.
  • Copy of the unit’s standards, guidelines, and procedures for promotion;
  • Current curriculum vitae or resumé of the candidate.
  • Position description for the candidate’s current position, including percent-time of the appointment.  Position description must include the qualifications for the position and the job duties, including teaching and/or administrative activities.
  • Position description for the position to which the candidate is being proposed for promotion. Position description must include the qualifications for the position and the job duties, including teaching and/or administrative activities.
  • Annual reviews of the candidate for the current year and preceding two years.
  • Two to four letters from a combination of students, staff and faculty who have worked closely with or benefited from the services provided by the candidate.  These letters might consist of an evaluation by an advisee of an academic advisor; an evaluation by a teacher whose teaching is supervised by or whose course material is coordinated by the candidate; or a statement from a student regarding the value of the services provided by the candidate.
  • A description of how the letters from students, staff and faculty were solicited and the reason for the selection of each evaluator.
